Detailed answers to common inquiries regarding the digitization of your analog media. We help you preserve your family history and professional archives with precision and care.
At Kilobyteivore, we are dedicated to the safe and high-quality conversion of your precious physical records into digital assets. Analog media degrades over time due to chemical instability and magnetic decay, making timely digitization essential for long-term preservation. Below, we have detailed the entire workflow from the initial request to final delivery, our pricing structures, and the strict security measures we employ to protect your original media.

Booking and Submission
How should I deliver my media to the studio?
We accept media via direct drop-off at our studio in Kita-ku, Osaka, or via secure courier. If shipping, please use ample cushioning materials to prevent movement and impact during transit. We strongly recommend adding shipping insurance to your parcel. Upon arrival, our staff performs a detailed inspection of every item and creates a formal receipt list for your records.
Can I get a price estimate before sending my materials?
Yes. By providing the quantity and format (e.g., VHS, 8mm, 35mm film), we can provide a general estimate. The final price is confirmed after we physically inspect the media to assess the level of degradation or the need for specialized cleaning. Please contact us via the contact page for a quote.
Do I need an appointment for a studio visit?
To ensure a smooth reception and immediate attention from our specialists, we request prior appointments. Saturdays are particularly busy. With an appointment, our engineers can perform a preliminary condition diagnostic on the spot. You may book via phone at 06-4804-0117 or by email.
Do you handle large-scale orders for corporations or organizations?
Yes, we provide B2B services for local archives, musical associations, and corporate records. For corporate clients, we offer payment terms of up to 30 days from the date of invoice. In such cases, we will enter into a formal business entrustment agreement regarding the handling of personal data to ensure compliance with Japanese law.
Turnaround and Scheduling
What is the typical turnaround time for digitization?
Our average turnaround time is 14 days. Please note that for very large volumes or when requesting advanced AV digital restoration (such as noise reduction and color correction), additional time may be required. A precise delivery date will be provided after the initial diagnostic of your media.
Is there an express option if I need my files urgently?
Yes, we offer an express plan. By paying an additional express fee of 50% of the total cost, your project will be prioritized in our workflow. This service is subject to current studio capacity, so please inquire about availability when booking.
When is payment required?
As a general rule, we require a deposit of 30% of the total estimated cost before work commences. The remaining balance is due upon delivery of the digital files, whether handled in-studio or via shipping. We accept bank transfers and major credit cards.
Could the delivery date be delayed?
In rare cases, severely degraded media may require intensive cleaning or meticulous speed adjustments to prevent data loss. If such conditions are found, we will notify you immediately and coordinate a revised delivery schedule to ensure the highest possible quality.
Quality and Technical Formats
In what file formats will my data be delivered?
Video files are delivered in the widely compatible MP4 (H.264 Full HD) format. Audio is provided in WAV, photographs in TIFF or JPEG, and home movie films in MP4. If you have a specific technical requirement for a different format, please consult with us during the booking process.
Can you improve the original quality of the footage or audio?
Standard digitization is a process of "faithful conversion," meaning we capture the record exactly as it exists. While we cannot increase the native resolution of the analog source, we use professional equipment to minimize noise. For actual quality enhancement, please refer to our "AV Digital Restoration" service for professional noise reduction and color correction.
What is the scanning resolution for photo films?
We support high-resolution scanning up to 6400 dpi. This ensures that the resulting files are detailed enough for large-format printing. You may specify the required resolution based on your intended use during the order process.
How can I receive my completed files?
We offer two primary delivery methods: transfer to a USB flash drive or a secure cloud storage download link. Cloud links are issued with strict security and remain active for a limited period. For physical delivery, you may provide your own USB drive or purchase one directly from our studio.
Handling of Originals and Rights
Will my original tapes and films be returned?
Yes, all original media are returned to the owner after the digitization process is complete. You can collect them in person or have them shipped back. If you wish for the original media to be professionally destroyed after digitization, please provide this instruction in writing.
Do you keep copies of my data on your servers?
After final delivery, we maintain a backup of your data on our secure servers for a maximum of 30 days. This period allows us to assist you if the delivered files are lost or corrupted. After 30 days, all data is permanently deleted to ensure absolute confidentiality. Please ensure you maintain your own long-term backups.
Can you digitize commercially released movies or music?
No. In accordance with copyright law, we do not provide copies of commercial films, music, or television broadcasts, nor do we remove copy-protection mechanisms. Our services are exclusively for home videos, personal recordings, and archives where the client holds the legal rights.
How is my privacy protected?
Your private recordings are handled under strict confidentiality. Access to data is limited to the assigned technical staff. Detailed information on how we process your personal information can be found in our Privacy Policy. We operate in full compliance with the Act on the Protection of Personal Information of Japan.
